Privacy Policy

AirFront AI provides an AI receptionist and lead-management service for HVAC businesses. This policy explains how information is handled when you visit our website, create an account, use the dashboard, or interact with an HVAC business through the service. AirFront AI is a working product name; the legal operator and contact details must be added before commercial launch.
Information we collect
- Account and business details: name, work email, business phone, company name, state, website, password hash, and business settings you enter.
- Customer and conversation details: caller or lead name, phone number, service address and ZIP code, HVAC issue, appointment preference, conversation transcript, summary, urgency, and follow-up status.
- Prospect details: business and contact information entered by platform administrators for reviewed sales outreach.
- Technical information: session cookie, request and security information, and operational logs needed to run and protect the service. Signup uses Cloudflare Turnstile to check for automated activity.
How we use information
We use this information to create and secure accounts, configure the receptionist, process conversations, identify urgent or safety-related calls, manage leads and appointments, prepare follow-ups, support the service, and investigate errors or abuse. The AI may generate suggested wording, but the application determines the conversation flow and safety response.
Who receives information
Information is available to the HVAC business whose account handles the interaction and to authorized AirFront AI operators. We use Cloudflare Workers and D1 for hosting and storage. If configured, OpenAI may receive conversation context to improve wording, Twilio may process calls and texts, and Resend may deliver emails. These providers process information to support the service. We may disclose information when required by law or to protect users and the service.
Cookies and security
We use an HTTP-only session cookie to keep account users signed in. We apply access controls, password hashing, and company-scoped data queries. No security system can guarantee absolute protection.
Retention and requests
We keep information while it is needed to provide the service, maintain records, resolve disputes, or meet legal obligations. Specific retention periods and a self-service deletion feature have not yet been established. Customers may request access, correction, or deletion through the contact method below; we will evaluate requests under applicable law and any obligations to the HVAC business that supplied the data. Callers may also contact the HVAC business they called.
Children and changes
This business service is not directed to children under 13. We may update this policy as the service changes and will post the revised version with a new effective date.
